Privacy Policy

This Privacy Policy describes how Tap In Systems ("Tap In", "we", "us") collects, uses, and shares information when you use our website and product. A plain-language overview lives at /privacy.

Information We Collect

Leaders: account email, group name, billing information processed by Stripe, and the weekly summaries generated for your groups.

Participants: the text responses to the three Tap In questions and the reflection generated from them. We do not require participant accounts, names, or email addresses unless a leader collects them during setup.

How We Use Information

To generate reflections and weekly summaries, to operate and improve the service, to send transactional email (such as the weekly summary notification), to process payments, and to respond to support requests.

How We Share Information

We share information with infrastructure providers necessary to run the service: our hosting provider, our database and authentication provider, our email provider, our payments processor (Stripe), and the AI model provider used to generate reflections and summaries. We do not sell personal information.

AI Processing

Participant responses are sent to our AI model provider solely to generate the reflection and weekly summary, under terms that prohibit use of that data to train their models. See our AI Transparency Policy for details.

Retention

We retain responses and summaries for as long as your group is active. Leaders may request deletion of a group's data at any time by emailing us. When you cancel and your paid period ends, we retain data for a short administrative window and then delete it.

Participants Under 18

In settings involving minors (schools, JAG, youth ministries, youth athletics), leaders are responsible for ensuring appropriate parental or organizational consent is obtained before participants take part. Tap In collects no direct identifiers from participants beyond what the leader configures.

Security

Data is transmitted over HTTPS and stored in our managed database with row-level access controls. Access to production data is limited to a small number of Tap In personnel who need it to operate the service.

Your Rights

You may request access to, correction of, or deletion of your data by emailing tapinmirror@gmail.com.

Changes

We may update this policy over time. The version and date at the top of this page reflect the most recent change. Material updates will be announced to active leaders by email.
